1. Introduction
Stowe Veterinary Centre uses CCTV and audio recording in and around the premises.
This policy explains how CCTV video and audio recording is used and managed at Stowe Veterinary Centre in accordance with UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
2. Purpose
The consultation room audio and video data recordings will be used for the following purposes:
- To support staff and improve the quality of service
- Staff training
- To help ensure the safety of clients, pets and staff
- For security purposes
The building exterior audio and video recordings will be used for the following purposes:
- To help ensure the safety of clients, pets and staff
- For security purposes
3. Lawful Basis
Processing is carried out under legitimate interest and, where applicable, legal obligations or carrying out tasks in the public interest. Audio recording is used proportionately due to its more intrusive nature.
4. Camera Locations
Cameras are installed in consultation rooms and external/communal areas, they are visible and supported by clear and legible signage; which is clearly displayed when entering these areas.
No recording takes place in private areas such as toilets or changing areas.
The organisation operating the system is Stowe Veterinary Group, with IT support from AT Veterinary Systems.
5. Audio Recording
Internal audio recording is limited to consultation rooms and is used for clinical accuracy, training, and dispute resolution.
6. Access to Data
Access is restricted to authorised personnel including the Practice Manager, Business Owner, and IT support. Playback of the recorded data will only be performed after one of these individuals determines the necessity for the playback, in the interests of the business, staff member or the client.
7. Data Sharing
Data is not routinely shared. It may be disclosed to law enforcement, legal representatives, or regulatory bodies where required or appropriate. Provision of data to 3rd parties will only be made in line with the purposes outlined above and to these entities in specific circumstances:
- The police and other law enforcement agencies where they may assist in the prevention or detection of crime
- Prosecution agencies like the Crown Prosecution Service
- Relevant legal representatives of the Practice
- Managers within the company for the purpose of improving quality of service
Provision to individuals whose recordings have been stored will be made unless disclosure would prejudice the prevention or detection of crime or if an individual identified in the recording does not provide their consent to share the data.
8. Data Retention
The data will be retained for the shortest duration necessary for the purposes stated above. Any data saved to external media will be kept for as long as is necessary for the purposes required.
9. Individual Rights
Individuals may request access to their data and exercise rights under UK GDPR, subject to limitations where other individuals are identifiable.
10. Data Security
All recordings are securely stored and protected against unauthorised access with appropriate technical and organisational safeguards.
